Running the booth
Everything you need to work an event. Written for whoever is holding the tablet, including someone who has never seen it before.
If you remember nothing else
- 1Nobody gets anything before they pay. The card goes through first, then the job appears in a queue. That is the whole rule.
- 2The Board is your to do list. Anything under Needs a person is waiting on you, worst first.
- 3Money is Jenny's. Refunds, prices, settings. You never have to make that call, and you should not.
The screens
Sign in once with your own email. The links across the top get you everywhere.
Taking an order
Payment comes first. Nothing enters a queue until the card goes through.
- Get their name and phone number.The phone is how the Hub recognizes a repeat customer. Any format works, the Hub cleans it up.
- Tap the packages they want.Prices come from the Hub, never typed in by hand. If a price looks wrong, it is wrong everywhere and Jenny fixes it once in Settings.
- Create the order.It gets a number like RJ‑2026‑0014. That number is how you find it on every other screen.
- Send it to checkout and hand over the tablet.They pay on Stripe's own screen. You never touch their card. Sales tax is added there, so the total is a little higher than the packages. That is normal, and it is the first thing customers ask.
- Watch it turn paid.Usually instant. If the wifi is bad it can take up to five minutes, and it will get there on its own. Do not ring them up twice.
The four queues
Each queue moves left to right. The Board shows you all four at once.
Photos
Photos screenShoot on the Nikon, move the shots to the phone, upload them from the Photos screen. Then hand the customer the tablet and let them pick their own.
Prints
Prints screenOpen the job, pick which photos to print, send it. Only photos already uploaded for that same order can be chosen.
Engraving
Engraving screenAsk the customer exactly what it should say, type it in, then send it to the machine.

360 screenTwo separate steps on purpose. Mark the clip recorded once the rig has run, then upload the file from the rig. The queue tells you which of the two is still owed.
What the Board is telling you
- Waiting
- Nobody has started it. This is your to do list.
- Working
- In progress. Leave it alone.
- Stuck
- Something failed. It needs a person, and that person is you.
- Needs a person
- The list underneath, worst first, oldest first. Work top down.
When it goes wrong
Three moves, in this order.
A customer paid and nothing happened. Wait five minutes. The Hub double checks with Stripe on its own and will catch up. Do not charge them again.
A customer says the link does not work. Their download link expires after a week. Jenny can reissue it. If it is within the week, it is usually that they are on a different phone than the one they opened it on, which is fine, the link works anywhere.
Somebody wants their money back because they changed their mind. All sales are final. Refunds are for when we failed, not for second thoughts.
Rules that will catch you out
- Ready is not done
- A print is finished when it comes out of the printer. Photos and 360 are only finished when the customer actually opens their link. That is why an order can sit at partly complete while everything looks fine on your end.
- Three strikes
- Every queue stops offering retry after three. That is deliberate. Four failures means the machine needs looking at, not another go.
- Originals get deleted
- Full size shots are wiped after 30 days. What the customer chose is kept. If they want more later, that is a new order.
- One link per order
- Photos and video land on the same page. The customer needs no password and no app.
- Sign in as yourself
- Your name is what shows up next to a job you resolved. Do not work on somebody else's account, because then their name is on your decision.
